Election regulation

The election regulations supplement the statutes of the international Association for Applied Mathematics and Mechanics (Gesellschaft für Angewandte Mathematik und Mechanik e.V. – GAMM) according to §8a as well as the articles of association of the GAMM according to section 4.1. It regulates the election of the members of the Executive Board and the Board of Directors according to §§ 9-10 of the GAMM Statutes.

  1. The Electoral Commission
    1. The composition and duties of the Electoral Commission are governed by Section 4.1 of the Statutes.
    2. If a member of the Electoral Commission resigns prior to the end of the term of office, a member of GAMM shall be appointed by the Chairperson to perform the duties of the Electoral Commission until the next general meeting.
  2. Call for Elections
    1. The President calls for the election, together with the request to submit election nominations for the members of the Board of Directors who are retiring by rotation.
    2. The call for elections shall include a list of all current members of the Board of Directors indicating
      1. the functional position in the Board of Directors according to §9 (1) a)-f) of the Statutes of GAMM or the members of the Board of Directors according to §10 (1) b) of the Statutes of GAMM,
      2. their professional orientation and
      3. the respective remaining term of office.
    3. The possibility of re-election shall be pointed out
    4. This preliminary information shall enable a balance according to §10 (2) of the Statutes of GAMM in the finding of nominations. In particular, it is aimed that one half of the members of the Board of Directors according to §10 (1) b) represent the field of applied mathematics, the other half the field of mechanics.
    5. The call for elections shall be sent to the members of the association in text form at least four months prior to the election. The call for elections will be published in the GAMM newsletter and on the GAMM websites.
  3. Nominations / Quorum
    1. The persons nominated for election must be members of GAMM and agree to their nomination.
    2. Nominations for President require the support of at least 25 members, nominations for Secretary and Treasurer require the support of at least 10 members, and nominations for the other members of the Board of Directors to be elected require the support of at least 5 members.
    3. The election nominations (including letters of support and consent to nomination) must be received in writing at the GAMM office eight weeks prior to the election.
  4. Preparation of the list of nominees
    1. The GAMM office informs the Electoral Commission eight weeks before the election of the election proposals received for which the quorum has been met and draws up the list of nominees. In this regard, it should be noted:
      1. The list of nominees must contain at least one election proposal and should contain a maximum of three election nominations for each position to be filled.
      2. According to § 10 (1) b) of the Statutes of GAMM, the positions may be put up for election not only individually, but also jointly, in whole or in part, in the following sense: If x positions are jointly nominated for election, the list of nominees must contain at least x election nominations and should contain a maximum of 3x election nominations for them.
    2. If the minimum number of election nominations is not reached, the Electoral Commission shall extend the list of election nominations. A quorum shall not be necessary.
    3. If there are more than three election nominations for a position to be filled, the Electoral Commission shall decide on the nominations to be considered and shall be guided by § 10 (2) of the Statutes of GAMM and the number of letters of support received for the respective nominees. If positions are put up for election jointly, this rule shall be applied accordingly.
  5. The election
    1. The format of the election is governed by § 8a (3) of the Statutes.
    2. In addition to the list of nominees, the election documents contain brief information on each nominated person, including
      1. Last name, first name, title;
      2. Scientific career and current field of work;
      3. Current professional position;
      4. Previous activities in GAMM, if any.

        They shall be made available to those entitled to vote in text form five weeks before the annual general meeting.
    3. The election software will be activated five weeks before the annual general meeting. Electronic voting ends at 6:00 pm on the day before the annual general meeting.
    4. The person who receives a simple majority of the votes cast shall be considered elected. In the event of a tie, the decision shall be made by drawing lots.
    5. The GAMM office is responsible for running the election, including the counting of the votes cast and the execution of the drawing of lots.
